Public Course Bookings

Last updated: September 2026

These terms apply when you book a place on a public training course provided by Northlight Training. Please read them before completing your booking.

By making a booking, you confirm that you accept these terms. Nothing in these terms affects your statutory rights.

1. Your Booking

A booking is for the course, date, location and number of learners shown in your booking confirmation. Please check your confirmation carefully and contact us as soon as possible if any information is incorrect.

Places are subject to availability. Your place is confirmed once your booking has been successfully completed and you have received confirmation from Northlight Training.

If you are making a booking on behalf of another person or an organisation, you are responsible for ensuring that relevant learners are aware of any information within these terms that applies to them.

2. Course Information

We aim to provide clear information about the content, duration, assessment, certification and any entry requirements for each course. It is the responsibility of the person making the booking to ensure that the course selected is appropriate for the learner's needs and, where relevant, the requirements of their employer or organisation.

If you are unsure which course you require, please contact us before booking.

3. Course Fees and Payment

The course fee applicable to your booking will be shown during the booking process and in your booking confirmation. Unless otherwise agreed with Northlight Training, payment must be made in accordance with the payment options offered when the booking is made.

Where Northlight Training has agreed to accept a purchase order or invoice arrangement, the person or organisation making the booking remains responsible for payment in accordance with the agreed payment terms.

Failure to attend a course does not remove the obligation to pay any outstanding course fees.

4. Cancelling Your Booking

We understand that plans can change. For the cancellation, transfer and learner-substitution rules below, “days” means calendar days. If you wish to cancel a booking, the following cancellation terms apply based on the number of calendar days before the course date: 29 or more calendar days: No cancellation charge. Any course fee already paid will be refunded in full. 8–28 calendar days: The full course fee is payable and no refund will be provided, except where Northlight Training agrees otherwise under the exceptional-circumstances provision below. 0–7 calendar days: The full course fee is payable and no refund will be provided, except where Northlight Training agrees otherwise under the exceptional-circumstances provision below. Where a booking contains more than one learner, these terms apply to each place being cancelled. Before cancelling, you may wish to consider transferring your place to another course or substituting another learner where those options remain available. The normal cancellation and transfer terms apply unless Northlight Training agrees otherwise. A customer may ask Northlight Training to consider exceptional circumstances, but making that request does not automatically create an entitlement to a refund, credit, free transfer, reduced charge or other arrangement. Northlight Training will review each request separately.

5. Transferring to Another Course

If you can no longer attend your booked course, you may be able to transfer your place to another available Northlight Training course. 29 or more calendar days: Transfer free of charge. 8–28 calendar days: Transfer permitted subject to a charge equal to 50% of the original course fee. 0–7 calendar days: Transfer is not available. Transfers are subject to suitable places being available. A transferred booking must normally be moved to the same course type or another course agreed by Northlight Training. If the new course has a higher course fee, the difference in price may also be payable. A booking may not be repeatedly transferred in order to avoid the cancellation or transfer terms that would otherwise apply. Where a booking has previously been transferred, any subsequent cancellation or transfer request will be assessed against the date of the course the learner is then booked to attend.

6. Substituting a Learner

If the original learner cannot attend, you may substitute another suitable learner free of charge up to the end of the calendar day before the course. Replacement learner details must be provided through Manage Booking or otherwise supplied to Northlight Training before that deadline. A learner substitution does not change the course, date or place booked. Learner substitutions are not available on or after the course date. Where a course has eligibility requirements or prerequisites, the replacement learner must also meet those requirements.

7. Non-Attendance

If a learner does not attend the course and the booking has not been cancelled, transferred or substituted within the applicable timescales, the booking will be treated as a non-attendance.

No refund or transfer will normally be available and the full course fee remains payable.

8. Arrival and Attendance

Learners should arrive in sufficient time to register and be ready for the advertised course start time.

Many first aid qualifications require learners to complete specified training and assessment time. If a learner arrives late, leaves early or misses part of the course, it may not be possible for them to complete the course or receive certification.

Where lateness or absence means the required learning or assessment cannot reasonably be completed, Northlight Training may refuse admission or determine that the learner cannot successfully complete the course.

No refund or free transfer will normally be provided in these circumstances. For courses delivered over more than one day, learners must attend all required sessions unless Northlight Training has confirmed otherwise.

9. Learner Participation

First aid training is practical and may involve activities including kneeling, working at floor level, practising CPR, using training equipment and participating in simulated first aid scenarios.

Learners are expected to participate sufficiently in the practical and assessment activities required by the course. If you have a disability, medical consideration, additional learning need or other circumstance that may affect participation, please contact us as early as possible before the course.

We will consider reasonable adjustments wherever reasonably possible and appropriate.

For regulated qualifications, any adjustment must also comply with the requirements of the relevant awarding organisation and must not compromise the assessment requirements or integrity of the qualification.

10. Course Prerequisites and Learner Eligibility

Some courses may have minimum age requirements, prerequisite qualifications or other eligibility requirements.

Where these apply, they will be identified in the relevant course information. It is the responsibility of the person making the booking to ensure that learners meet any stated requirements.

Northlight Training may request evidence of prerequisite qualifications where required.

If a learner cannot complete a course because they do not meet a clearly stated eligibility or prerequisite requirement, a refund cannot normally be provided.

11. Assessment and Certification

Where a course includes assessment, learners must successfully meet the relevant assessment requirements before certification can be awarded.

Attendance alone does not guarantee successful completion or certification. Assessment may include practical demonstration, questioning, written or other assessment methods depending on the course.

Where a regulated qualification is provided, certification is also subject to the requirements and quality-assurance processes of the relevant awarding organisation.

We will provide information about certification and, where applicable, the validity period of the qualification as part of the relevant course information.

12. Pre-Course Learning

Some courses may require learners to complete online learning, reading or other preparation before attending a classroom session.

Where pre-course work is mandatory, this will be made clear in the course information or joining instructions.

Learners are responsible for completing mandatory pre-course requirements within the stated timescale.

Where a learner has not completed required pre-course learning and this prevents them from participating in or completing the course, Northlight Training may be unable to admit the learner or award the relevant qualification.

13. Behaviour and Safety

We want our courses to provide a safe, respectful and positive learning environment.

Learners are expected to behave appropriately towards trainers, venue staff and other learners and to follow reasonable safety instructions.

Northlight Training may require a learner to leave a course where their behaviour is seriously disruptive, abusive, threatening, discriminatory or creates a safety risk.

We may also refuse participation where there are reasonable grounds to believe that a learner is impaired by alcohol or drugs to an extent that makes participation unsafe or inappropriate.

Where a learner is removed or refused participation because of their own behaviour or impairment, no refund or free transfer will normally be provided.

14. Changes Made by Northlight Training

Occasionally we may need to make reasonable changes to a course, such as changing the trainer, training room or venue.

Where a change does not materially alter the course being provided, the booking will normally continue on the revised basis.

If we need to make a significant change that materially affects the course, we will contact affected customers as soon as reasonably possible and explain the options available.

15. Cancellation or Rescheduling by Northlight Training

Although uncommon, Northlight Training may sometimes need to cancel or reschedule a course because of circumstances such as trainer illness, insufficient learner numbers, venue problems, severe weather or other circumstances that make delivery impractical or unsafe.

If Northlight Training cancels a course, you will normally be offered the choice of transferring your booking to a suitable alternative Northlight Training course without a transfer charge or receiving a refund of the course fee paid for the cancelled course.

If we reschedule a course and the revised arrangements are not suitable, we will provide an appropriate alternative or refund.

Northlight Training will not normally be responsible for indirect costs incurred in connection with attending a course, such as travel, accommodation, childcare or loss of earnings, except where liability cannot legally be excluded. We therefore recommend avoiding non-refundable travel or accommodation arrangements where possible.

16. Circumstances Outside Our Reasonable Control

Sometimes events outside our reasonable control may prevent or materially affect delivery of a course. Examples could include severe weather, significant transport disruption, emergency venue closure, utility failure, public-health restrictions or other exceptional events.

Where this happens, we will take reasonable steps to minimise disruption and will contact affected customers as soon as reasonably practicable.Depending on the circumstances, this may include moving, rescheduling or cancelling the course.

If a course cannot ultimately be provided, we will offer an appropriate alternative or refund of the affected course fee.

17. Training Materials and Intellectual Property

Course materials supplied by Northlight Training are provided for the learner's personal use in connection with their training.

Unless otherwise stated, Northlight Training retains the intellectual property rights in materials it has created.Course materials must not be reproduced, republished, sold, distributed or used to deliver training to others without permission.Materials produced by an awarding organisation or another third party remain subject to that organisation's intellectual property rights.

18. Personal Information

We use personal information to administer bookings, communicate with customers and learners, deliver training, maintain appropriate training and certification records and meet relevant regulatory or awarding-organisation requirements.

Further information about how we use personal information is available in our Privacy Policy.Where you provide personal information about another learner, you should ensure that they are aware that their information has been provided to Northlight Training for these purposes.

19. Complaints and Concerns

We want learners and customers to have a positive experience with Northlight Training.

If something has gone wrong, please contact us as soon as possible so that we have an opportunity to investigate and resolve the matter.

Complaints can be submitted using the contact details published on our website.Where a complaint relates to a regulated qualification, additional awarding-organisation procedures may apply.

20. Our Responsibility to You

Northlight Training will provide its services with reasonable care and skill.Nothing in these terms excludes or restricts liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence.

Training provides learners with knowledge and skills appropriate to the relevant course. It does not remove the responsibility of individuals or organisations to make appropriate decisions about first aid provision, workplace safety, regulatory compliance or the treatment of an individual in a real emergency.

Nothing in these terms affects your statutory rights.

21. Changes to These Terms

We may update these terms from time to time. The terms applying to your booking will normally be the version in effect when your booking was made.A later change to these terms will not normally alter the terms of an existing booking unless required by law or specifically agreed with you.

22. Governing Law

These terms are governed by the laws applicable in Northern Ireland.Nothing in this section is intended to restrict any rights a consumer may have regarding where legal proceedings can be brought.
